1. Custom Orders Are Final Sale

All custom, made-to-order, private-label, or personalized items are non-refundable and non-returnable. By submitting an order and payment, you acknowledge and agree to this policy.


2. Customer Responsibility for Order Accuracy

A detailed order summary is provided at checkout. It is the customer’s responsibility to:

  • Verify that all customizations, fragrances, quantities, and specifications are correct.

  • Confirm that the shipping address is accurate.

  • Provide all required materials (including label files) promptly.

Private Label Fragrance is not responsible for errors that result from incorrect or incomplete information provided by the customer.


3. Required Label Files & Artwork Submission

Custom orders requiring labels, logo files, or artwork cannot proceed without finalized design files.

  • Artwork must be received within 30 days of order placement.

  • If artwork is not received within this timeframe, the order will be marked as inactive.

  • If no artwork is provided and no communication is received within 30 days, the order will be classified as abandoned.

Incomplete or missing artwork does not qualify the customer for a refund.


4. Production Timeline

Typical production time is 4–12 weeks, beginning after ALL required materials have been received and approved.
Delays caused by the following are outside of our control and do not qualify for refunds:

  • Shipping carrier delays

  • Port/vessel delays

  • Customs or import/export inspections

  • Supplier shortages or raw material delays

  • Acts of nature or unforeseen events

We will always communicate timeline updates as they occur.


5. No Chargebacks or Payment Disputes

By placing an order, customers agree not to initiate chargebacks or payment disputes with any bank or payment processor.

Any dispute filed in violation of these Terms constitutes a breach of contract, and all documentation will be submitted to the payment provider demonstrating customer agreement to these Terms.


6. Photography & Marketing Use

We reserve the right to photograph, display, or share images of completed custom orders for marketing or portfolio use (including social media, websites, and printed materials), unless the customer opts out in writing prior to placing the order.


7. Inspection of Delivered Goods

Customers must inspect their order immediately upon delivery. Any concerns regarding damages, defects, or incorrect items must be reported within 48 hours of receipt so that we may address the issue.


8. Storage Limits for Completed Orders

Due to space and quality control standards:

  • Finished or partially completed orders can only be held for 30 days after notification of completion or after required action is requested.

  • If lids or protective packaging were not purchased, we are not responsible for dust, debris, or environmental exposure during the holding period.

  • Private Label Fragrance does not offer long-term storage of completed goods.


9. Abandoned Orders

An order becomes abandoned when:

  • The customer does not provide required label files within 30 days,
    or

  • The customer does not respond, schedule pickup, or submit shipping payment within 30 days of notification,
    or

  • The customer ceases communication for 30 days or more after follow-up messages.

Abandoned orders may be discarded at any time after the 30-day period.
No refund or credit will be issued for abandoned items, as materials and labor have already been used to create the product.


10. Quality Standards & Expired Orders

Private Label Fragrance guarantees product quality for 30 days after completion. Beyond this period:

  • Dust accumulation

  • Fragrance fading

  • Container wear

  • Surface contamination (especially when no lids are purchased)

  • Separation or settling of ingredients

are considered normal environmental changes outside of our control.

Orders exceeding the 30-day storage window may be deemed expired and discarded without refund.


11. Restarting an Abandoned or Expired Order

Customers wishing to re-order products previously abandoned or expired must place a new order at full price, including new materials, labor, and labels.


12. Communication Responsibility Clause

Customers are responsible for monitoring email, text messages, and all communications from Private Label Fragrance. If a customer does not respond within 30 days to required requests or updates, the order will be marked abandoned under Section 9.

Claims of “missed emails” or “unseen messages” do not override this policy.


13. Legal Compliance, Venue & Disputes

By placing an order, the customer agrees that:

  • All custom work is final sale.

  • Private Label Fragrance is not responsible for delays or customer inaction.

  • Any disputes must be handled directly with Private Label Fragrance prior to involving third parties.

  • For discontinued or dissolved entities, claims must be made against the legal business active at the time of purchase.

14. Label Design Policy (No Graphic Design Services Provided)

Private Label Fragrance does not offer graphic design, label creation, or artwork editing services. All label designs, including layout, branding, dimensions, font choices, colors, imagery, spacing, and print-ready formatting, must be created and supplied by the customer.

By submitting label files, the customer agrees that:

  • The artwork provided is the final version.

  • Labels will be printed exactly as submitted.

  • Private Label Fragrance is not responsible for spelling errors, formatting issues, alignment, resolution, color discrepancies, or design dissatisfaction.

  • Any errors, revisions, or reprints due to customer-supplied artwork will require a new purchase.

  • Production delays caused by missing or incomplete artwork are the customer’s responsibility.

Private Label Fragrance is not responsible for modifying, correcting, resizing, or improving customer-provided designs. If a customer is unsure whether their artwork is production-ready, they must consult a professional graphic designer prior to submitting label files.
